I. Introductions and Expectations
A. Job descriptions were given from last year’s board members as well as discussion of overseeing events. Discussion resulted in board members not required to oversee events but Volunteer Coordinators will supply coaching and support to all event chairs and seek board members if needed.
B. Expectations of the President; Organize PTA Event and meeting Calendar. Provide Board Members with meeting agenda. Participate in President’s Corner of the newsletter
C. Expectations of Vice President; Fill in for President when needed. PTA membership drive with school bulletin. **Reminder to check to fish die cut for school of fish theme. Time keeper for all meetings.
D. Expectations of Recording Secretary; Meeting Minutes, PTA meeting flyers, Welcome back Newsletter, overseeing sign board, contact person for local newspapers, radio and television.
E. Expectations of Volunteer Coordinators; Providing volunteer packet; Volunteers lists for each event; tracking minutes for Blue Ribbon Award; overseeing all events by providing committee chairs with volunteers and support when needed.
F. Expectations of Treasurer and Co-Treasurer ; maintaining budget objectives; monitor spending and providing budget report at all PTA meetings
G. Expectations of Media Secretary; Fill in for Recording Secretary by taking meeting minutes in her absence; maintaining the website by posting forms, meeting minutes and board contact information; Contacting board members and Principal for entries in the Newsletter which goes out on average every two months.
II. Outstanding Issues
A. Playground Map; we originally voted for $300 max. The striping machine and paint was ordered for $285.86. The playground map options included a disposable map for $189 or a reusable map for $450 which includes the shipping. Due to going over the voted max dollar amount another vote was needed on which map to order. The board voted unanimously for the reusable map which will be loaned out to area schools and will also ensure that when the map fades we will have the material to replace easily.
B. New staging is being investigated by Marianne Harris.
C. The Fall Fundraiser will again be a Fitness Fundraiser. All children will receive a water bottle and the top 3 participants will receive prizes. This may include the leftover Tai Kwon Do memberships we have from the Calendar raffle.
III. Budget proposal reviewed and accepted.
IV. Upcoming Activities
A. The Welcome Back Breakfast – Marianne Harris to do shopping. ? if budget allows for $25 gift cards to Staples for all teachers.
B. Cookout and Dessert served by PTA members voted down due to time constraints.
C. Dates for fingerprinting and criminal background will be included in upcoming flyers with reminders that you cannot volunteer with children unless you have been fingerprinted.
V Visiting New Matters
A. Discussion on Reflection Program this year. Joan Harper will chair and further discussion may be to make a school wide celebration since the state eligibility is so strict.
B. Heather Aldrich has volunteered to conduct book chats. This will include both educational books as well as fictional books of interest to parents.
C. Marianne and Christine will inquire with Home Depot and possibly Lowes to seek a corporate sponsor.
D. Marianne and Jen to seek Sue Perrault and Choice teachers on starting support groups for parents of children with emotional needs and behavior needs.
E. This year there will be recess rangers trained to organize games on the playground. This will also be supervised by parent volunteers twice per week.
F. Diane Reilly to take over the Funding Factory Program.
G. Discussion on other ways to thank volunteers. Will continue with Volunteer Appreciation and possibly attach a note to those who volunteer loyally for many hours.
H. Photographers for school yearbook will be added to the volunteer forms.
